Established Midlands based advertising and creative agency are seeking an experienced Production Manager to work for a major client within a busy agency.
Outline
The Production Manager is a key member of the team, carrying responsibility for customer service delivery, operational excellence and sales growth. The Production Manager will be responsible for all aspects of the production process, development and delivery of the customers printed communications - from customer relationship development and strategic development, through to briefing and execution. The role will encompass the day-to-day management of the customers’ business, the development of the customer relationships and liaison with internal departments and external approved suppliers.
Key Responsibilities
Provide Excellent Customer Service. Build and maintain strong relationships with key decision makers in the customer organisation, identify their needs, maintain and develop business and ensure quality delivery of service and products in order to provide excellent customer service.
• Ensure all processes and systems best practices are always professionally adhered to and maintained up to date, agreed with the customer and communicated to all relevant customer and staff;
• Take and manage accurate information from the customer, formulating full production briefs, producing detailed print specifications to suppliers
• Manage requests for quotations by progressing in a responsive manor inline with agreed KPIs, advising customer on economic formats/specs within their quotations by working with suppliers to derive cost effective and fit for print projects
• Maintain detailed job history via the use of procurement and management information systems
• Manage daily WIP & status reports to agreed schedules on a job by job basis to ensure on-time delivery
• Ensure all relevant parties are briefed and informed of project progress and forecasting of future project requirements
• Ensure meeting notes are produced with actions from client meetings for circulation to relevant parties.
• Ensure all 3rd party suppliers are briefed accurately and their workflow and performance is tracked against agreed objectives
• Ensure projects are completed & despatched to pre-agreed schedules, right first time every time
Ensure that agreed and documented SLA’s, reverse SLA’s, KPI’s are adhered to and support the Account Director to actively progress initiatives to deliver continuous improvement initiatives that drive cost & process efficiencies
Support the production of tailored reports to monitor both company and customer performance. These reports are to be presented to key customer stakeholders monthly & quarterly by the Account Director and Customer Service Director.
Ensure results of any customer satisfaction survey and general customer feedback is highlighted to the Account Director and acted upon where necessary
Work closely together with colleagues in supporting daily operations with regards to workflow and best practice
Commercials & Financials
Support the Account Director to communicate, track and achieve all financial targets, adhere to commercial standards and optimise commercial benefits.
• Adhere to defined ordering, authorisation and billing process;
• Ensure expenditure controls and procedures are adhered to, ensuring all expenditure is charged or any non-chargeable expenditure is escalated to the Account Director and authorised in advance by the Customer Service Director
• Adhere to purchasing policies such that nothing is ordered without a purchase order, that purchasing thresholds are adhered to and that supplier invoices are approved in time to ensure on time payments to suppliers
• Ensure every job is invoiced within 48 hours of despatch and in accordance with agreed customer guidelines to ensure on time payment.
